Privacy Policy
This page explains what personal information RetailX collects, why we collect it, and what you can ask us to do with it. Questions or access requests go to info@netage.co.za. See also our Cookie Policy and Terms & Conditions.
1. Who we are
RetailX is a product of Net Age (registration number 2000/074718/23, VAT number 4600194742), a South African business. Net Age is the responsible party for the personal information described in this policy under the Protection of Personal Information Act, 2013 (POPIA). This page is maintained by us and describes our current practices — it is not an independent certification or audit.
2. Information we collect
When you request a quote, sign up, book a demo, apply to the partner programme or contact support, we collect the details you give us: name, company, email address, phone number, country, billing and delivery address, VAT number and company registration number (optional), and anything you type into a message or notes field. If you sign a quote or debit order mandate we also store your signature image, the date and time of signing, and the IP address used, because that is what makes the signature verifiable.
3. Payment and banking details
If you choose the bank debit option we collect your bank name, branch code and town, account number, account type, account holder name and preferred commencement date so that Net Age can collect the agreed subscription. Card payments are handled by our payment provider — we do not store full card numbers on our systems.
4. Information collected automatically
We record technical and usage information when you browse the site: pages viewed, referring source, campaign parameters (utm_source, utm_medium, utm_campaign and similar), approximate location derived from your IP address, browser and device type, and interactions such as clicks, form fields completed and page navigation. We use a session-replay tool on our own site to understand how visitors move through pricing and signup. Passwords and banking fields are excluded from replay capture.
5. Your product and competitor data
If you subscribe, you upload a product catalogue and a list of competitor URLs. That data belongs to you. We process it only to deliver the service to you — matching products, tracking prices, generating alerts and reports. We do not sell it, and we do not use it to build a catalogue that competes with you.
6. Why we process your information
To respond to enquiries and produce quotes; to create and administer your account and subscription; to invoice you and collect payment; to send service messages such as booking confirmations, price alerts and reports; to run our partner and referral programme, including attributing signups to the correct partner; to improve the product and the website; to detect and prevent fraud and abuse; and to meet legal, accounting and tax obligations.
7. Legal basis
We process personal information because it is necessary to conclude or perform a contract with you, because we have a legitimate interest in operating and improving our business, because the law requires it (for example tax and financial record keeping), or because you consented — for example to marketing email or to non-essential cookies. You can withdraw consent at any time.
8. Marketing
We may email you about RetailX product news and offers if you asked for a quote, booked a demo or subscribed. Every marketing email has an unsubscribe link, and unsubscribing does not stop essential service messages such as invoices, alerts or booking confirmations.
9. Who we share information with
We share personal information with service providers who help us run RetailX: our cloud hosting and database provider, our email delivery provider, our payment provider and bank, calendar and meeting tools used to schedule demos, and analytics or session-replay tooling on our own site. Each of them is only allowed to use the information to provide their service to us. We also share information where the law requires it, or where it is needed to establish or defend a legal claim. We do not sell personal information.
10. Cross-border transfers
Some of our service providers process data on servers outside South Africa. Where that happens we rely on the provider's contractual data-protection commitments so that your information receives a level of protection comparable to POPIA.
11. How long we keep it
We keep account, billing and signed-document records for as long as you are a customer and afterwards for the period required by South African tax and company law. Enquiry, quote and demo records are kept while they are commercially useful and then deleted or anonymised. Website analytics and session-replay recordings are kept for a limited period and then removed. If you want the specific retention period for a particular record, email us and we will tell you.
12. Security
Access to customer data is restricted to team members who need it, protected by individual accounts and passwords, and traffic to the site is encrypted in transit. Bank details captured for a debit order mandate are stored in restricted records. No system is perfectly secure, so we do not claim your data can never be compromised; if a security compromise affects your personal information we will notify you and the Information Regulator as POPIA requires.
13. Your rights
You can ask us what personal information we hold about you, ask us to correct or delete it, object to processing, ask us to stop sending marketing, or complain about how we handle it. Send the request to the address in the next section and we will respond as soon as reasonably possible. You may also complain to the Information Regulator of South Africa (enquiries@inforegulator.org.za).

15. Changes to this policy
We update this policy when our practices change. The version date at the top of the page tells you when it last changed, and we will notify account holders by email of material changes before they take effect.
